To define what is a web based project management system, we can say they are online applications designed to manage project related information. Team members that live in different locations may to collaborate on a project easier, having an online environment to interface and access resources. The decision making process is better; the project manager has better visibility for supervising the activities going on inside the project.

Although located in remote locations, team members employ the web based management system for project purposes; the most up-to-date information is posted online for easy access. The projects file repository is being kept at a central location, being password protected with different access levels for the project information. These dedicated online systems offer the tools and services team members need to complete the projects.

A central location holds the project files, all in electronic format; it is a secure location and only those granted appropriate rights can access it. The access to the central location is quick and easy, by using a web browser for viewing and editing the documents and also for team communication purposes. The project manager monitors the activity that goes on, having tools dedicated for this purpose.

Three sectors need to be discussed here: file management, team collaboration, and the IT infrastructure and support. Files management is possible, such as online data files viewing and editing, uploading and downloading files. Online group meetings and instant group messaging allow for team collaboration. The IT support details site administrator tasks like granting access rights, setting firewalls, and installing virus protection software.

Comparing the web based project management systems with the classical management systems, we will notice a few advantages, such as improved visibility, fast information access, along with shortened project life cycle. If kept online, the information may be daily updated, being of great use to the team members; also, online communication is easier for team members located remotely.

A few drawbacks to an online management system exist, but they can be easily overcome. We include here security problems, along with Internet access difficulties that some team members may face.

To conclude, a small technological investment in a web based project management system will positively impact team members and managers, bringing along tools for communication and information access, making it easier to overcome the physical distance between the team members.

Manage A Team In Different Locations With A Project Management System

Posted by John Nash

Before we move on to the real essence of the topic, we must first know that what a Project Management System is? Project Management System is a technique in which we can implement a point in time arrangement to achieve a vigilantly planned objective. In this system, we make one team and divide it into different subsets.

Teams are the building blocks of any organisation. They provide companies with the means to combine the various skills, talents, and perspectives of a group of individuals to achieve specific goals. Team can be managed in different locations with a project management system through following points.

Management-level planning maps out an overall management plan from which resources, acquisitions, and sub-contracts can be identified, costed, and placed. At this phase, many of the detailed management processes should be defined, and instigated. A project should pass through several stages, each with a different objective, and deliverable.

When a team is given a project, it divides the project into many different sections and each section is assigned a specific task. All the sections are asked to bring the results on a specific date. On this date, all the subsets have to report with the result and hence a final result is achieved. For a project management, companies usually start a project with an objective.

Project Management Systems, can further help the team force to control the expenditure that is generated into the project so that the limit of the budget is not challenged in any way. Furthermore, such project systems have always benefitted the employees that can communicate in a far more enhanced, manner when confronted with an issue.

When tasks are provided to the employees, they are given a sketch of the entire task. This will help them to identify the further contacts needed, the cost and the benefits that they can get from the task. The benefits that are evaluated should be followed up and the manager should see whether he/she is acquiring those benefits or not.

Where there are benefits, there is also a chance to face risks in the long run. The possible risks that can be faced up should be chalked out at the start of the project. A risk management team should be prepared which can evaluate the system regularly for risks and then keep an eye on them as the project finds its way to accomplishment. While this is kept in mind, it should also be remembered that the employees should keep communicating with the project manager.

Lastly, it is with the help of Project Management Systems that all chapters of the project are assimilated together and are then rechecked for any modification and elimination of errors.

Temporary episodes of identical reformation lead to downsizing. All around the globe, millions in every currency are being squandered only because of the absence of workers from the work place. Chronic Fatigue Syndrome is relatively more common now, and is spreading all over the industrialized world; while the managers continue to pressurize their employees for more work at lower wages for higher profits and more money making. This has lead to an increased suicide cases related to the work place issues.

Since every one has the permission to access the data, this system helps the employees in such issues that he/she might not be able to resolve on his/her own. By enabling quick communication with the seniors, he/she can perform the assigned work efficiently.

Moreover, with the help of these systems, the project manager can complete and supervise each and every intricate detail of the project in a rather convenient and relaxing manner. There is no fear of not being able to meet the deadline; or having things done in a chaotic manner, as everything moves towards the goal as expected. If there is any sort of break down, the system makes sure that the project manager does not stay oblivious of the disruption.

These systems prove to be a major help in keeping an eye on the entire team regarding their performances. There are individuals who lack the passion of being competent and therefore, they fail to work in an efficient manner. Furthermore, they sometimes tend to cross the budget limit as well. The manager is instantly made aware of the negligence and errors of the employees. Thus, every sort of error can be rectified and dealt with, before it is too late.

Moreover, these systems maintain consistent communication; with the help of web based project management systems even in the remotest of areas you can make economical international calls. Moreover, the benefit of free of charge inbound calls is affiliated with it.

Due to the outstanding managing and scheduling capabilities, a project management system helps in keeping our project on track and gives peace of mind to the employees of an organization.

The Key Principles Behing Agile Project Management

Posted by Clare Westwood

Agile project management methods are a group of processes used in order to create software, agile work on the basis that several methods are used rather than just one single method. The agile manifesto states that constantly updating and finding new ways in which to develop software is its main principle. Through agile project management the manifesto states that agile become experts at individual interactions over both processes and tools being used, working software over comprehensive documents, customer relations and helping to respond to changes quickly and efficiently.

Some of the key principles behind the agile manifesto are: Customer satisfaction, this is maintained through constant delivery of useful and innovative software. The delivery of working software time is kept to weeks rather than months. Working software is put at the forefront in order to measure progress. Late changes are welcomed in relation to requirements. Close working and daily cooperation between business people and developers is maintained and wherever possible face to face discussions take place. Projects are built around the individual and continuous attention to detail is promoted.

The Agile manifesto created a movement in software which then became known as agile software development.

The main principles of agile are embodied in lean manufacturing and can be seen in six sigma, The main concepts also include making the system error proof, eliminating unnecessary waste, creating a system that flows, creating customer value and empowering the work force.

Whilst agility is often looked upon as being a means to an end there are a number of approaches that have been proposed in order to quantify agility. The AIM (Agility Index measurements) scoring system allows projects to be counted with a variety of factors involved in order to come up with an average result system. There are many other technique used and agile also use a self assessment score in order to determine the success rate.

Essential Tools To Consider For Successful Project Management

Posted by Kathryn Smith

As the economic environment becomes increasingly competitive each year, organizations need to be on their permanently on alert in order to maintain their edge against competition. In this context, the role of successful project management has become key to staying at the forefront of industry. That is, any industry. The business environment is painfully aware that managers need new tools to improve the efficiency of decision making and to help them consolidate their vision and plans for the companies and organizations they lead.

Selecting the right project management tools can only be done after understanding that different tools are needed for each stage of the project. While milestones review and business planning are essential during all phases of a project, the project framework and the business case justification take control in the project initiation phase, while risk analysis is critical during the execution and control phases.

The selection of the right project management tools should be based on the understanding of the fact that though different tools are needed for different stages of the project, the time of document folder stacking up on the manager’s desk is over. Managers can now find all the information they need in one centralized view of the project, only one click away, in their web browser.

Web application project management solutions come to the help of managers by bringing planning ahead right at their fingertips. They can start roadmaping and establishing milestones immediately, thus being able to effectively keep track of the project and report to higher managers and stakeholders. Web enabled applications for project management allow prioritizing key components in the activity and the focus of team efforts on critical project areas, resulting in a more effective use of financial and human resources.

Web based applications for project management are highly flexible due to their modular nature and can be as simple or as complex as required, depending on factors such as the size of the project, the type of project, the number of projects managed or the staff experience and the methodology employed.

Sometimes a companys growth may depend on the quality of the work that a project manager does. The company has ensured that the project manager has received the appropriate project management training that enables him to supervise projects in different fields from construction, telecommunications even design, services or sales.

The project manager is supposed to plan, execute and finalize projects within the deadlines and the budget calculated for them. Project management has some rules that have to be respected by all project managers. These rules are defined as duties or responsibilities attributed to a person in charge with the management of a project as it follows:

Responsibilities:

Online Project Management

Posted by Kathryn Smith

The analysis of management starts with the etymology of the word. Thus, it comes from the Latin “manus” (meaning “hand”), which was also at the origin of the Italian word “maneggiare” (meaning “to handle”). It presupposes, as the word already points out, manipulation of all available resources (human, natural, technological, financial) to reach a number of set objectives.

The study of management has pointed out a number of functions that are characteristic to the process: primarily, it involves planning of the actions that should be performed on short, medium and long term; secondly, resources need to be organized so as to achieve the plans; thirdly, the people that will accomplish the various tasks are recruited; two more functions ensure the smooth development of the entire process, namely the leading function and the controlling function.

A number of functions have been identified as characteristic to the management activity. These may be described as follows:
- the planning of the activities that are to be accomplished; usually, the planning presupposes the organization of these actions in time (short, medium and long term);
- the implementation of the set activities, implying the best utilization of resources;
- the recruitment of the necessary personnel to carry out the activities;
- the leading function, which refers to making the appropriate decision in a particular situation and getting the people to accomplish it;
- the controlling of the entire process, meaning that progress may be tracked down as against the initial plan.

Specialized tools and services have been developed to improve the management process. Project management software allows for better project planning, organization of resources, control and evaluation.

Web-based project management tools are easily customized and installed to any public or private client. They allow for better communication and improved efficiency within the project. Facilities are developed to provide a clear overview of the project budget and of the staff utilization rates. Real time visibility of the key performance indicators is secured, thus permitting the project manager to take the appropriate decisions in due time.

With the help of such a controlled system, the manager would be able to warn them regarding their limitations. They would be able to have a good level of communication that would help them in enhancing the project development. For instance, there are employees who tend to cross their budget limit. This software provides with the convenience of dealing with this aspect as well.

Moreover, the employees are required to feed into their individual computers regarding every step that they cover. They are required to store into the data each and every effort that they put into the completion of their assigned tasks. This enables the supervisor to keep a stored record of their graph of responsibility and whether each one of them has been able to meet up to their expectations or not.

The supervision feature is managed by the software itself. In addition to this, you can also have customised software, which can help you keep a record and check on every individual workers performance on a daily basis. With the addition of such a customised value addition you can get rid of any hassle that could arise.

Founding Fathers Of Project Management

Posted by Jason Jackson

This is a quick guide to some of the pioneers of project management in the modern era. (When we talk about the modern era, we’re talking about the middle of the 20th century onwards. There are, obviously, many fantastic project managers from before this time – including such people as those who built the Pyramids, and many famous war and political strategists throughout human history, but we’re looking at those who contributed to project management as we know it today).

1) F. W. Taylor

The “principles of scientific management” were written by Frederick Winslow Taylor in 1911. These are based on five basic elements for managing successful projects:

i) You should study the nature of the project first to determine the best way of completing it.

ii) Find the best person / people for the job.

iii) Train this person in how best to go about doing the job.

iv) Incentivise them to follow best practices.

v) You need to ensure your workers are working on the project, while your managers are managing it.

2) Henry Gantt

The Gantt Chart that is widely used in project management today was developed by Henry Gantt. It is a visual representation of a project plan and schedule, that looks like a horizontal bar chart.

3) Frank Gilbreth

An early time and motion study pioneer, dedicated to improving the efficiency of each individual.

4) Donaldson Brown

Famous for articulating various accounting principles, such as return on investment and financial forecasting, Donaldson Brown worked with the famous DuPont company in the 1920s, helping them develop their methodology for managing projects effectively and efficiently.

5) W. E. Deming

Working in Japan, William Edwards Deming ensured their factory production techniques were vastly improved. He developed his fourteen “principles of management” during this time, and expanded upon them in his hugely influential book “Out of Crisis”, from 1986.

6) Joseph Juran

Another American project management guru working in Japan in the second half of the twentieth century, Joseph Juran popularised the principles of “Quality Management”. One of the fundamental elements of this is to ensure there is training for everybody in the company, starting with the top level management. This idea wasn’t popular in the US at the time, and helped Japan overtake them to become a world leader in production during the 1970’s.

With decades of experience behind him, Jason Jackson is an agile project management specialist. His experience ranges from the largest multinational organisations to small bespoke projects.
